Registration

Registration closed on 13 March 2023.  To enquire about late registration, please contact Melissa Clarke.  For a limited number of students and early birds, registration fees have been subsidised and will be allocated on a first-come first-served basis (see further details and rates below). We encourage you to register as soon as possible given the ORNL meeting attendance requirements outlined below.

Online participation. 

Due to ORNL meeting attendance requirements, any live virtual participant will have to complete the ORNL visitor registration, as if they were attending in person. This option is now closed. 

Please note that no registration will be required to access the on-demand recordings of sessions (posted shortly after the sessions), which will include the option to post questions for the speakers for 30 days following the event.

Oak Ridge National Laboratory meeting attendance requirements

As part of ORNL’s contract with the US DOE, all non-US citizens attending the meeting must also be registered as if they were visiting ORNL. Citizenship information will be collected during registering for the meeting and an email from Melissa Clark at ORNL will follow registration to begin the ORNL visitor process. The registration process requires a full CV, passport and visa information. Passport and visa copies will be deleted once viewed by the ORNL site access office. The notice period required by our site office varies by nationality and can range from 8 to 45 days. Please contact the Symposium Administrator or Chair prior to registration if you have questions about how long this might take for you, especially if you need to apply for a visa. All international delegates are encouraged to register by 25 January 2023 to ensure your ORNL visitor registration can be processed.

Due to US Government spending caps on meetings, only a limited number of places are available for researchers that will be using DOE support to register for and travel to the meeting. These will be allocated on a first-come first-served basis.

Registration rates:

  • $850 Regular, including accommodation in a single room
  • $650 Student, including accommodation in a single room
  • $500 Regular, no accommodation or breakfast
  • $400 Student, no accommodation or breakfast

The registration fee with accommodation includes:

  • Attendance at the scientific program (Tuesday 28, Wednesday 29, Thursday 30)
  • Three nights’ accommodation (Monday 27, Tuesday 28, Wednesday 29)
  • Evening meals (Monday 27, Tuesday 28, Wednesday 29)
  • Breakfast (Tuesday 28, Wednesday 29, Thursday 30) 
  • Lunch (Tuesday 28, Wednesday 29, Thursday 30)
  • Coffee/tea breaks

The registration fee without accommodation includes:

  • Attendance at the scientific program (Tuesday 28, Wednesday 29, Thursday 30)
  • Evening meals (Tuesday 28, Wednesday 29, note Monday’s evening meal is not included)
  • Lunch (Tuesday 28, Wednesday 29, Thursday 30)
  • Coffee/tea breaks

Subject to availability, additional accommodation for the nights of Sunday 26 or Thursday 31 March is available for the reduced rate of $185 + tax per night. To secure this reduced rate, additional nights should be arranged through the Symposium Administrator Melissa Clark and the delegate will pay these additional costs directly to the venue on arrival at the symposium. Additional night(s) costs include accommodation in a single room for single occupancy, an evening meal, and breakfast.


The discount for students is available for delegates enrolled at an accredited university for a higher degree in a relevant field, anyone registering for a student place may be asked for proof of their student status. On request, the student discount may be extended to delegates attending from non-profit organisations or non-OECD nations. Please contact the organisers prior to registering to submit a request. 

All delegates are encouraged to ensure that they have appropriate travel insurance with health care, Covid and cancellation cover.

Visas

If you require a visa to travel to the USA, please note that the visa application process can be lengthy. We strongly recommend you commence this as soon as you have registered. Please note the information above that all foreign national attendees must be registered in the ORNL visitor system and this requires up to 45 days’ notice depending on nationality.

You can request a letter of invitation after registering to attend in person. Please contact the Symposium Administrator Melissa Clark to request a letter. In issuing you with a letter of invitation, we make no commitment to provide any financial support, and an invitation letter is not a substitute for an official visa. Please note we cannot provide any assistance with the visa application process, other than providing an invitation letter issued by the scientific organisers to aid with the application process. Visa invitation letters will only be issued to registered delegates that have a genuine scientific reason for attending the symposium. If your visa application is unsuccessful Oak Ridge National Laboratory cannot engage in any discussion with visa-issuing authorities and will not contact any embassies on delegates’ behalf.
